How to Clean Up QuickBooks Before Tax Season

Cleaning up QuickBooks before tax season starts with complete records, not a last-minute adjustment. Use this checklist to identify what is missing and make your bookkeeping review more efficient.

1. Set the review period and collect statements

Choose the months to review and collect every bank and credit card statement, loan statement, payroll register and payment-processor summary. Note missing accounts and months. Keep a copy of the original reports before correcting records; use a company-file backup for QuickBooks Desktop.

2. Review bank feeds for duplicates

Match downloaded transactions to invoices, bills or payments already recorded. Compare possible duplicates with the bank statement before removing anything. Intuit explains common causes and checks in its QuickBooks duplicate transaction guide.

3. Reconcile each bank and card account

Check statement dates and balances, then investigate missing entries, duplicate entries and changes to previously reconciled transactions. Do not post an unexplained amount simply to make a reconciliation balance. Intuit’s reconciliation guidance describes the process.

4. Review more than your profit and loss

  • Confirm customer invoices and unpaid vendor bills reflect real balances.
  • Separate owner contributions, draws and loan principal from operating income and expenses.
  • Compare payroll journal entries and liabilities with provider reports.
  • Review payment-processor fees, refunds and deposits so net deposits are not mistaken for gross sales.
  • Flag asset purchases, loans and uncertain classifications for review with your tax preparer.

5. Create an open-items list

Record the date, amount and question for each unresolved item. Keep supporting documents together and use a secure channel to share records. Complete agreed corrections before treating the reports as final for a tax return.

Choose cleanup, catch-up or monthly support

Catch-up records missing periods; cleanup addresses errors or incomplete reconciliations. Some businesses need both. ExpressBooks reviews the period, software, account count and complexity before quoting work.

Request a remote cleanup review. Meetings and scope are confirmed before work begins.
