Small Business Bookkeeping: A Practical Monthly Routine

Useful small business bookkeeping turns everyday transactions into records you can use to understand performance, prepare a return and plan your next month. A bank balance alone cannot explain unpaid bills, customer balances or the difference between cash and profit.

Build a repeatable monthly bookkeeping routine

  1. Collect complete records. Gather bank and credit card statements, invoices, receipts, loan statements and payroll reports for the same period.
  2. Review transactions. Match payments to existing invoices or bills before adding new entries. Separate owner contributions and withdrawals from operating income and expenses.
  3. Reconcile accounts. Compare each bank and credit card account with its statement. Investigate differences before making an adjustment.
  4. Review the balance sheet. Check loans, payroll liabilities, customer balances and unpaid vendor bills, not just the profit and loss report.
  5. Close and discuss the month. Document unresolved questions and review the financial reports before moving on.

Which reports should you ask for?

A profit and loss report summarizes income and expenses; a balance sheet shows assets, liabilities and equity. A cash flow statement explains changes in cash. Budget vs. actual reporting helps compare results with expectations. The reports included depend on your service plan and agreement.

Use the side-by-side bookkeeping plan comparison to review transaction limits, accounts and reporting differences. ExpressBooks monthly plans start at $200, with higher tiers from $350, $650 and $1,100. Final scope follows a review of your records.

When catch-up work comes first

If several months are incomplete, start with a defined cleanup project. A monthly service does not automatically include earlier periods. We review missing statements, reconciliation problems and the time period before quoting the work.

Explore remote bookkeeping services or our cleanup and monthly bookkeeping package. Combined packages offer custom pricing after a review of your business needs. Your written proposal confirms any savings against the same services purchased separately and one agreed monthly ACH auto-payment; no fixed discount is guaranteed. Software, provider and government fees and tax payments are excluded.

Need a standalone project instead? Explore year-end cleanup and financial reports, without a monthly bookkeeping plan or client-owned software subscription.
